How to pay your Hexafusion invoice

We use Stripe for card payment and recurring monthly billing. It is the same payment platform used by Shopify, Amazon, and most of the SaaS companies you already trust with your business card. Hexafusion never sees, touches, or stores your card number.

One-time invoices (projects, hardware, onboarding)

When we send a one-time invoice, the email contains a "Pay invoice now" button that opens a Stripe-hosted payment page. Enter your Visa, Mastercard, or Amex on the Stripe form. You will receive a Stripe-issued receipt by email within seconds of payment.

You can also view and pay every invoice on file from the Hexafusion client portal.

Recurring monthly & yearly services

Managed services are billed automatically on each cycle (monthly or yearly per your Statement of Work) using the payment method you saved at first sign-up. Stripe handles the auto-charge end-to-end. You get an emailed receipt for every successful charge.

If a charge fails, the system retries automatically and notifies you. Two failed attempts triggers an email from our AR team so we can update your payment method together before service is affected.

The Hexafusion client portal

Every Hexafusion client gets a self-serve portal at hexafusion.com/portal. Sign in with the email address where you receive your invoices. No password required, we email you a one-time sign-in link.

From the portal you can:

  • View every signed agreement (MSA, SOW, NDA) and download PDFs
  • See your full invoice history (paid and outstanding)
  • Pay any open invoice with one click via Stripe
  • Update your saved payment method through the Stripe-hosted Billing Portal
  • Track your onboarding progress (live status of all 30+ onboarding tasks)

Is paying by card secure?

Stripe is PCI-DSS Level 1 certified, the highest level of card-data security compliance. Your card number is encrypted in the browser, transmitted directly to Stripe (never to Hexafusion), and tokenized for future use. Our Founder is a former PCI DSS Internal Security Assessor, so we built the integration to industry standards rather than the bare minimum.

Other payment methods

For one-time invoices, we also accept:

  • E-transfer to [email protected] (password: itservice)
  • Cheque made out to Hexafusion Canada Inc., mailed to 997 Seymour Street, Vancouver BC V6B 3M1
  • Wire transfer (contact [email protected] for banking details)

For recurring monthly services, Stripe is required so the renewal cycle stays automated. We can swap in pre-authorized debit (PAD) for high-volume clients on request. PAD has lower processing fees and is also supported by Stripe.

Tax

All invoices are issued in Canadian dollars (CAD). Federal GST (5%) and BC PST (7%, where applicable on tangible goods and hardware) are itemized on each invoice. Our tax numbers:

Late payment

Standard terms are net 14 days from invoice issue. Overdue balances accrue interest at 2.5% per month, compounded monthly, from the due date until paid in full (per our Master Services Agreement). We will always reach out before flagging an invoice overdue, and suspension is a last resort.
