IT support for construction and trades companies in Vancouver

A general contractor, electrical, mechanical or trade subcontracting company in Vancouver runs on a mix of a head office, a jobsite trailer or two, and a crew that is mostly in the field on a phone or tablet. The office network is rarely the problem. The problem is a jobsite with weak cell coverage, a project manager who cannot pull up a drawing set from a truck, or a laptop that was shared between three site supervisors and never had its own login. Hexafusion supports Lower Mainland construction and trades companies with jobsite-aware IT, device management for a scattered crew, and engineers who understand the difference between a Procore sync issue and a jobsite router that lost signal.

Construction and trades systems we support

Procore and project management platforms

Workstation and mobile device setup, single sign-on, and network configuration around Procore and similar construction project management platforms. Application-level bugs escalate to the vendor; connectivity, devices and backup are ours.

Estimating and takeoff software

Licensing, workstation performance and file storage for estimating and takeoff tools, including large drawing file sets that slow down an underpowered laptop.

Accounting and job costing systems

QuickBooks, Sage or construction-specific accounting platforms kept licensed, backed up and accessible to the office staff who run payroll and job costing.

Jobsite connectivity

Cellular routers, site Wi-Fi and hardened jobsite trailers configured so a superintendent can actually load a drawing set or submit a daily report from the trailer.

Mobile crew devices

Tablets and phones issued to foremen and supervisors, enrolled in mobile device management so a lost or stolen device does not mean a lost project file.

Drawing and document management

Shared drawing sets, RFIs and submittals kept in a managed file system with version control, rather than scattered across email attachments and personal phones.

Privacy and compliance

BC's Personal Information Protection Act (PIPA) governs how your company collects, uses and discloses employee and client information, and the federal Personal Information Protection and Electronic Documents Act (PIPEDA) applies alongside it for activities in the course of commercial activity, which covers most general contractor and subcontractor work. If your company accepts credit card payments for deposits or progress billing, PCI DSS applies to that card data and should flow through a compliant payment processor rather than being stored on an office computer. Trades regulated by a professional body, such as electricians and gas fitters licensed through BC Safety Authority or the Technical Safety BC framework, have their own recordkeeping expectations separate from general privacy law. This is general information, not legal advice.

Common IT problems we fix for construction and trades companies

  • Jobsite cannot get online. Weak cellular signal or a router that was never configured for the site. We assess coverage and set up a connection that actually holds through a workday.
  • Shared site laptop with no accountability. One login shared between three supervisors means no one can tell who changed what. We set up individual accounts and access logging.
  • Procore or project software running slow in the field. Often a mobile device with too little storage or a weak connection, not the software itself. We diagnose and fix the real cause.
  • Lost or stolen tablet with project files on it. Without device management, a lost tablet is a lost drawing set and an unknown exposure. We enroll every field device so it can be located, locked or wiped.
  • Estimating files scattered across personal laptops. When takeoffs and bids live on individual machines with no backup, a single hard drive failure can cost a bid. We centralize and back it up.
  • Office network slowdowns during busy bidding periods. Large drawing file transfers competing with everyday office traffic. We separate and prioritize network traffic so bidding does not stall daily operations.

How AI can improve your work

  • Daily report and RFI drafting. AI tools can turn a foreman's rough field notes into a formatted daily report or RFI draft for review, cutting down end-of-day paperwork. Privacy safeguard: Field notes should go through a tool your company has reviewed, not a public chatbot, since they can reference specific clients and project sites.
  • Bid and proposal drafting. Microsoft 365 Copilot can draft a first pass of a proposal narrative from your scope notes and past project summaries, with your estimator reviewing pricing and scope before it goes out. Privacy safeguard: Past project data and client names should stay inside your own Microsoft 365 tenant, not a free public AI tool.
  • Meeting and site walk summaries. AI transcription and summarization of weekly project meetings or site walk recordings can save a project manager time writing up notes. Privacy safeguard: Recordings and transcripts containing client or subcontractor information need to stay in an access-controlled system, not a consumer app.
  • Scheduling and subcontractor coordination drafts. AI drafting of routine subcontractor scheduling emails and reminders, reviewed by the project manager before sending. Privacy safeguard: Subcontractor contact details and schedule information should only be fed to a tool approved for business use.
  • Safety documentation drafting. AI-assisted first drafts of toolbox talk topics and incident report narratives, which a supervisor then reviews and finalizes. Privacy safeguard: Incident details involving a worker's personal information should never be entered into a public AI tool.

How Hexafusion helps

We start with an AI readiness assessment that looks at where your office and field teams could realistically use AI tools without creating a data exposure. We then set up Copilot and other approved AI tools securely inside your Microsoft 365 tenant, configure data protection so project and client information cannot leak into a public AI model, and train your office and field supervisors on what is and is not appropriate to put into an AI tool. For companies that want to go further, we build custom assistants, including our own AI phone assistant for after-hours or overflow call handling. Any AI build-out beyond basic setup and training is scoped and quoted as its own separate project.

Which plan usually fits

Most construction and trades companies with a head office and a field crew land on Managed, our recommended plan: unlimited remote help desk during business hours (subject to our Fair Use Policy), plus onboarding and offboarding support for a workforce that turns over by season and by project. Companies handling sensitive client contracts, bonding documentation or working with insured projects often move to Secure, which adds onsite support. Onsite support is included only on our Secure and Enterprise plans; remote-only plans do not include a site visit. After-hours response, a quarterly vCIO review and ongoing testing are Enterprise-only. Servers, including any on-premises server or always-on cloud server you want us to manage, are an add-on and are not included in any plan. See plans for full details.

Frequently Asked Questions

Do you support Procore and other construction management platforms?
Yes. We handle the infrastructure, device setup and connectivity around Procore and comparable platforms. Application bugs escalate to the vendor; the network, devices and backup around it are ours.

Can you improve connectivity at a remote jobsite?
Yes. We assess cellular coverage at the site and configure a jobsite router or hardened Wi-Fi setup so your trailer can reliably load drawings and submit reports.

How do you handle mobile devices issued to field crews?
We enroll tablets and phones in mobile device management so a lost or stolen device can be located, locked or wiped, and so project data is not left exposed on an unmanaged device.

Do you handle our accounting and job costing software?
Yes. We keep QuickBooks, Sage or construction-specific accounting platforms licensed, backed up and accessible to the staff who need them, and troubleshoot connectivity and performance issues.

What privacy rules apply to our client and employee data?
BC PIPA and PIPEDA generally apply to how you collect and handle personal information. If you accept card payments, PCI DSS applies to that card data. This is general information, not legal advice.

We do not have an IT person. Is that a problem?
That is who we are built for. Most construction and trades companies have no one whose job is IT, which is exactly why a jobsite router or shared laptop goes unmanaged until it fails. We take that ownership off your plate.
