Quarterly Business Review
Most managed-IT providers send a generic newsletter and call it a "business review." Ours is a real strategic report with engagement health score, financial recap, onboarding progress, renewal calendar, and AI-summarized executive paragraph, delivered as a PDF to every Hexafusion client at the end of every calendar quarter, automatically, no nudging required.
What's inside a Hexafusion QBR
Quarter highlights (top of page)
A 2-4 sentence executive paragraph written by AI from the underlying data and signed off against our brand-voice guidelines. Reads in 30 seconds. Tells you whether the quarter was a win, a draw, or a problem, in plain English, no jargon.
Engagement health score
A 0-100 composite indicator that rolls up signed agreements, paid invoices, recurring billing health, onboarding velocity, blocked tasks, and renewal risk. Color-coded: green (80+), yellow (60-79), red (<60). Includes a 90-day sparkline so you see whether you're trending up or down.
Financial recap
CAD paid this quarter vs prior quarter. Current monthly recurring revenue + annualized. Outstanding balance now. Every invoice issued this quarter with its status pill (paid / sent / overdue) and amount.
Onboarding progress
If you're a new client, the QBR shows your 34-task onboarding checklist's exact state: percent complete, blocked tasks, overdue tasks, average days-to-complete per phase (Welcome / RMM / Security / Backup / Documentation / Baseline / Day-30 QBR).
Renewal calendar (next 90 days)
Every signed Master Service Agreement (MSA) and Statement of Work (SOW) with its expiry date. Days remaining color-coded so you know what's coming. If a renewal is approaching, Hexafusion is already drafting the new SOW for you before you have to ask.
Your Hexafusion team
Names + emails for everyone on your account. Who to call for billing, who to call for technical, who's your strategic point person. No call-centre roulette.
How it gets delivered
- Automatic at quarter-end. A systemd timer on our infrastructure fires during the last 5 days of each calendar quarter and dispatches QBRs to every active engagement. No one at Hexafusion has to remember to send it.
- Emailed as a PDF attachment. Lands in the inbox of the email address where you receive your invoices, with our AR team BCC'd so everyone's on the same page.
- Available on demand any time. Sign in to hexafusion.com/portal with your billing email (no password needed, we email you a one-time sign-in link). Your QBR is one click away from the dashboard, and every prior quarter is archived under "QBR archive."
- Tamper-evident. The PDF is generated fresh from our system every time it's downloaded, so there's no risk of a stale or edited copy floating around. The numbers always match what's actually in our system.
Why Hexafusion built this
Most managed-service relationships drift. The provider stops communicating beyond the monthly invoice; the client stops getting visibility into what's being delivered for the money. Renewal time arrives and both sides are uncomfortable because they haven't had a real conversation in months. I'm a prospective client. Can I see a sample QBR?
Yes. Contact us and we'll send a redacted sample from a similar-sized BC business. Real numbers, real engagement health calculation, real renewal calendar, with the client name and identifying info redacted.
Do I have to attend a QBR meeting?
No. The QBR is a self-service document. If you want to discuss it, the Hexafusion sender on the email (the team member named at the top of the PDF) is your point of contact. We don't require quarterly meetings, but we're happy to schedule one if it would help your team.
What if my health score is red?
A red score (below 60) means multiple lifecycle stages need attention. Common reasons: an MSA not yet signed, invoices overdue, onboarding tasks blocked, or an agreement lapsed without renewal. The QBR explains which factors are dragging the score down, and Hexafusion will already be working on remediation by the time you read it. How is the AI summary written?
Our Anthropic Claude model is given a bulleted list of facts from our system (health score, deltas, paid amounts, onboarding state, etc.) and a brand-voice system prompt that requires plain English, no marketing fluff, cited numbers, and a concrete next-step. The output is 2 to 4 sentences, max 90 words. We cache the result per quarter so Anthropic is only called once per engagement per quarter. Nothing is fabricated; every number traces back to data in our system.
