IT support for pharmacies in Vancouver

A Vancouver pharmacy cannot pause operations the way an office business can: a dispensing system outage means prescriptions do not go out and a lineup backs up at the counter in real time. Pharmacy IT depends on dispensing software staying connected to PharmaNet, the provincial network pharmacies use to check and record prescription activity, alongside the payment terminal at the till. Hexafusion supports Lower Mainland pharmacies with dispensing system uptime, PharmaNet connectivity and engineers who understand why a pharmacy network outage is not just inconvenient, it is a patient safety issue.

Pharmacy systems we support

Kroll Pharmacy Management and PharmaClik

Workstation and network configuration, backup and access control around Kroll Pharmacy Management, PharmaClik and comparable dispensing platforms. Application bugs escalate to the vendor; infrastructure is ours.

PharmaNet connectivity

Network reliability and failover for the connection your dispensing system needs to query and record activity on PharmaNet.

Payment terminals

Network segmentation and configuration for front counter payment terminals, aligned with PCI DSS requirements.

Automated dispensing and packaging equipment

Network and workstation integration for automated pill packaging or dispensing equipment where your pharmacy runs it.

Patient communication and refill reminder systems

Connectivity and integration support for refill reminder and patient communication tools tied to your dispensing system.

Backup power and connectivity failover

Planning for power and internet redundancy so a short outage does not take dispensing offline during business hours.

Privacy and compliance

BC PIPA governs how your pharmacy collects, uses and discloses patient personal and health information, and PIPEDA applies alongside it for activities in the course of commercial activity. Pharmacists and pharmacies in BC are regulated by the College of Pharmacists of British Columbia (CPBC), which sets specific recordkeeping and patient record retention standards, and PharmaNet itself operates under provincial health information rules that govern how dispensing data is transmitted and accessed. If your pharmacy processes card payments, PCI DSS applies to that payment data. This is general information, not legal advice.

Common IT problems we fix for pharmacies

  • PharmaNet connectivity dropping. A network issue that stops prescriptions from being processed, which is a patient safety problem, not just an inconvenience. We build in connectivity reliability and failover.
  • Dispensing system slowdowns during peak hours. Often a network or workstation bottleneck rather than the software itself. We profile and fix the real cause.
  • No backup power for short outages. A brief power blip that takes the whole dispensing counter offline. We help plan backup power and connectivity failover for a pharmacy that cannot afford downtime.
  • Automated packaging equipment losing network connection. We troubleshoot the actual network cause rather than treating every issue as an equipment hardware fault.
  • Payment terminal network not properly segmented from other systems. A common PCI DSS gap. We configure segmentation that genuinely isolates payment traffic.
  • No IT ownership for a small pharmacy. Most independent pharmacies have no one whose job is IT, which is exactly where connectivity and backup gaps go unnoticed until they cause an outage. We take that ownership on.

How AI can improve your work

  • Patient communication drafting. AI tools can draft routine refill reminder and general medication information messages for a pharmacist to review before sending. Privacy safeguard: Draft inside your own Microsoft 365 tenant, not a public chatbot, since these messages reference specific patients.
  • Inventory and ordering summaries. AI can summarize dispensing data into a reorder suggestion for common medications. Privacy safeguard: Export dispensing data only into systems you control; do not feed patient-identifying detail into a public AI tool.
  • Staff scheduling drafts. AI tools can draft a first-pass pharmacist and technician schedule from availability for a manager to finalize. Privacy safeguard: Keep staff personal information inside your own scheduling and Microsoft 365 systems.
  • General medication information drafting. AI can draft general, non-patient-specific medication information handouts, reviewed by a pharmacist before use. Privacy safeguard: Any content touching a specific patient's therapy must be reviewed and finalized by a licensed pharmacist, never generated and sent automatically.
  • After-hours call handling. An AI phone assistant can answer general hours and location questions and route urgent calls appropriately. Privacy safeguard: Configure the assistant to never discuss a specific patient's prescription detail over an unverified call.

How Hexafusion helps

We start with an AI readiness assessment that looks at where pharmacy staff could use AI tools for general drafting and scheduling without touching patient-specific therapy decisions, which must stay with a licensed pharmacist. We set up Copilot and other approved AI tools securely inside your Microsoft 365 tenant, configure data protection so patient records cannot leak into a public AI model, and train staff on safe use. For pharmacies that want to go further, we build custom assistants, including our own AI phone assistant for general call handling. Any AI build-out beyond basic setup and training is scoped and quoted as its own separate project.

Which plan usually fits

Most independent pharmacies land on Managed, our recommended plan: unlimited remote help desk during business hours (subject to our Fair Use Policy) and onboarding and offboarding support as pharmacist and technician staff change. Given how disruptive downtime is at the counter, many pharmacies choose to move to Secure, which adds onsite support. Onsite support is included only on our Secure and Enterprise plans; remote-only plans do not include a site visit. After-hours response, a quarterly vCIO review and ongoing testing are Enterprise-only. Servers, including any on-premises server or always-on cloud server you want us to manage, are an add-on and are not included in any plan. See plans for full details.

Frequently Asked Questions

Do you support Kroll Pharmacy Management or PharmaClik?
Yes. We handle the infrastructure, network and backup around Kroll Pharmacy Management, PharmaClik and comparable dispensing platforms. Application bugs escalate to the vendor.

Can you improve our PharmaNet connectivity reliability?
Yes. We assess and build in network reliability and failover so a connectivity drop does not stop prescriptions from being processed.

Can you help with backup power for short outages?
Yes. We help plan backup power and connectivity failover appropriate to a pharmacy that cannot afford to go offline during business hours.

What recordkeeping rules apply to patient records?
The College of Pharmacists of British Columbia sets recordkeeping standards for patient records, alongside BC PIPA and PIPEDA for personal information generally. This is general information, not legal advice.

Do you support automated packaging or dispensing equipment?
Yes, for the network and workstation integration side. We troubleshoot connectivity issues rather than assuming every fault is a hardware problem.

We are an independent pharmacy with no IT staff. Is that a problem?
That is who we are built for. Most independent pharmacies have no one whose job is IT, which is exactly why connectivity and backup gaps go unnoticed until they cause an outage.
